How a lean recruiting team uses Workable’s AI Agent to source talent quickly

A lean recruiting team, a footprint that quintupled in six years, and an AI Agent now sourcing candidates around the clock.

H2 Health grew from 60 locations to more than 300 in just six years. Director of Recruiting Carol Ribeiro leads a small, high-output recruiting team through that growth, and is turning to Workable’s AI Recruiting Agent to extend her team’s reach into round-the-clock candidate sourcing.

Who is H2 Health?

H2 Health is an outpatient rehabilitation company founded  during the early days of the COVID-19 pandemic. The company has grown from roughly 60 locations across five states to more than 300 locations across 12 states, and continues to expand.

H2 Health operates three divisions: outpatient clinics, its largest division; senior services, which delivers outpatient care inside assisted living, skilled nursing, and independent living communities; and a pediatric division. Across those divisions, H2 Health employs physical therapists, occupational therapists, speech language pathologists, and ABA therapists, with specialties that vary by location and community.

Carol Ribeiro has been with H2 Health since its founding and built its recruiting department from the ground up. She now leads a lean team of recruiters, each aligned to a division, supported by additional staff handling student placements, marketing, sourcing calls, and administrative coordination.

What Hiring Looked Like Before Workable

Before Workable, H2 Health’s recruiting team operated inside Paylocity, the company’s broader human capital management system. Paylocity served the team well in H2 Health’s earliest days, but as the company expanded rapidly across new states and divisions, Ribeiro needed a dedicated applicant tracking system built to scale alongside that growth.

Why H2 Health Chose Workable

Ribeiro evaluated Workable against other major platforms and found that what set Workable apart was the level of partnership on offer.

It was really the level of customer service that you guys were willing to provide, and all of the willingness that the team was willing to create, all of the implementations and all of the different things that they’re willing to do.

That partnership extended into a complex implementation. H2 Health required a full 360-degree integration with its existing systems, built from the ground up, and Ribeiro found the process to be a smooth one overall.

Sourcing at Scale with Workable’s AI Agent

With a lean team supporting a rapidly growing, multi-state organization, Ribeiro has long looked for ways to automate as much of the sourcing workload as possible, freeing her recruiters to focus on candidates rather than administrative legwork.

I love automation. I just wish I could sit here at my desk and tell the computer, this is what you need to do, and have AI kind of run the whole thing.

That philosophy is what drew Ribeiro’s team to Workable’s AI Recruiting Agent, using it to source candidates continuously in the background across open roles. Even in its early stages of adoption at H2 Health, Ribeiro already sees the time saved by having the Agent working while her recruiters focus on other priorities.

I think it saves time, because anything that’s doing it in the background saves us time. It’s less time that the recruiter actually needs to be sourcing for that specific position.

Ribeiro sees the greatest long-term opportunity for the Agent in H2 Health’s clinical hiring, where roles are consistently in demand across the company’s growing footprint of locations.

I really do think for pretty much all of our clinical positions, it’s kind of like sourcing in the background on a daily basis for us. Having that extra set of hands within the system is a huge time-saver. It just makes it easier and more efficient for us.

The Rest of the Toolkit

Interview Scheduling and Scorecards

Ribeiro’s team relies heavily on Workable’s interview scheduling and structured scorecards as part of their everyday hiring workflow.

One-Way Video Interviews for High-Volume Roles

For corporate roles that draw a high volume of applications, H2 Health uses Workable’s one-way video interviews to let candidates showcase their skills earlier in the process, well before a live conversation.

One-way video interviews are great for when we receive high volume applications. It’s really amazing, because you’re hiring much faster and you’re giving every candidate an opportunity to showcase their skills.

A Positive Experience, for Candidates and Recruiters Alike

Ribeiro has made simplicity a deliberate part of H2 Health’s candidate experience, keeping the application process as frictionless as possible for every applicant.

We always get very positive feedback from candidates, and I always try to make the whole application process as easy as possible, because I want to remove as many layers as possible for candidates to be able to apply.

Ribeiro also credits Workable’s own team with making day-to-day support easy, a factor that matters for a recruiting team moving as quickly as H2 Health’s.

The team, Nick and Alex, have been wonderful. They’re very helpful, and I’m so pleased with both of them. If they don’t know something, they try to find out the information for us. I think they’re great.

Looking Ahead

As H2 Health continues to grow across new states and divisions, Ribeiro sees the AI Agent playing a bigger role in keeping her lean team ahead of a constant stream of clinical requisitions, with automated sourcing running quietly in the background so recruiters can focus their time where it matters most: with candidates.
